How She Club Foundation collects, uses and protects your information.

Who we are and scope of this Policy

She Club Foundation Inc (“She Club Foundation”, “the Foundation”, “we”, “us”) is a Florida not-for-profit corporation exempt from federal income tax under Section 501(c)(3) of the Internal Revenue Code (EIN 42-4066794), with its principal address at 9909 Brompton Drive, Westchase, FL 33626, USA. This Privacy Policy explains how we collect, use, disclose and protect personal information obtained through this website (the “Site”) and through the forms and communication channels linked from it. By using the Site or submitting information to us, you acknowledge the practices described in this Policy.

Information we collect

(a) Information you provide voluntarily. When you submit an application for support, a volunteer or partner application, a donation interest form or a contact form, we collect the information you choose to provide: your name (which may be a pseudonym on the support application), your email address and/or telephone number, your preferred language, the category of support requested, your safety-related contact preferences, and the content of your message. Professional volunteer applications may also include credential files you upload (for example, licenses or diplomas).

(b) Information collected automatically. On non-sensitive pages of the Site we use analytics tools (via Google Tag Manager) that may collect standard technical data such as browser type, device type, approximate region, pages visited and referring page. We do not use this data to identify individual visitors.

(c) Server logs. Our hosting provider automatically records standard log data (IP address, date and time, pages requested) for security and operational purposes.

Sensitive information and support applications

Applications for support may describe highly sensitive circumstances — domestic violence, health, psychological state, immigration matters or financial hardship. We treat this information with heightened care: submissions are stored in a restricted location outside the public web directory, accessible only to authorized team members; detailed intake records and case notes are not stored in the website system; and the full content of an application is never transmitted in plain email notifications. Please share only the information you feel safe sharing, and use the safety-related fields in the form to tell us how, when and through which channel we may contact you.

How we use information

We use personal information to: respond to your inquiry or application; assess eligibility and provide charitable support; coordinate volunteers, specialists and partner organizations in connection with your request; process and acknowledge donations and issue receipts; communicate with you about our programs where you have asked us to; maintain the security and operation of the Site; and comply with legal obligations. We do not sell, rent or trade your personal information, and we do not use it to build advertising profiles.

Consent

By submitting a form you consent to the collection and use of the information you provide for the purposes described in this Policy, and to our contacting you through the channel you indicate. Providing information about your health, experiences of violence or immigration status is entirely voluntary; where you choose to provide it, you give us explicit consent to process it for the purpose of assisting you. You may withdraw your consent at any time — see “Your rights and choices” below.

Limits of confidentiality — please read

We treat applications as private and limit access to team members and volunteers who need it to assist you and who are bound by confidentiality obligations. However, it is important that you understand the following: (a) communications with the Foundation are not protected by attorney–client, psychotherapist–patient or doctor–patient privilege, even where a team member holds a professional license; (b) we may be required by law to report suspected abuse, neglect or exploitation of a child, an elderly person or a vulnerable adult (mandated reporting under Florida law), or to act where there is a risk of imminent harm to any person; and (c) we may disclose information where compelled by a valid court order, subpoena or other legal process. Except in these circumstances, we do not disclose the content of your application without your consent.

How we share information

We share personal information only in the following limited cases: with service providers who operate our hosting and email delivery and who are bound by contractual confidentiality and data-protection obligations; with volunteers, specialists or partner organizations involved in assisting you, on a need-to-know basis and — where a referral to an outside provider is made — with your consent; where required by law or legal process; and in aggregated or de-identified form that cannot reasonably identify you (for example, program statistics in grant reports).

Analytics, cookies and tracking

The Site uses Google Tag Manager, which may load analytics tags (such as Google Analytics) on non-sensitive pages. Designated sensitive pages — including the support application form and domestic violence content — are served without analytics or marketing tags. We never transmit form contents, names, email addresses, phone numbers, or health, legal or violence-related information to analytics or advertising systems. You can control or delete cookies through your browser settings; the Site remains fully usable with cookies disabled.

Email communications

If you contact us or submit a form, we use your email address to respond and to send service messages related to your request (for example, confirmation of your application). We do not add you to marketing mailing lists without your separate opt-in, and you may unsubscribe from any non-essential communication at any time.

Data retention

We retain personal information only for as long as necessary for the purposes described in this Policy and to satisfy legal, accounting and reporting requirements. Support application records are reviewed periodically and securely deleted when they are no longer needed. You may request earlier deletion at any time.

Data security

We use HTTPS encryption, restricted storage outside the public web directory, access controls and other reasonable administrative and technical safeguards. No method of transmission or storage over the internet is 100% secure, but protecting your information — especially the information of women in vulnerable situations — is a core priority for us.

Your rights and choices

You may request access to, correction of, or deletion of your personal information, or withdraw your consent to its processing, by writing to info@sheclubfoundation.com. We will respond within a reasonable time and honor your request unless a legal obligation requires otherwise. To protect your safety, we may need to verify your identity before fulfilling certain requests.

Children

The Site and the Foundation’s forms are intended for adults (18+). We do not knowingly collect personal information from children through this Site. If you believe a child has submitted personal information to us, please contact us and we will delete it.

Third-party links and services

The Site links to third-party websites and organizations (for example, hotlines and government services). We are not responsible for the privacy practices of third-party sites; please review their policies before providing them your information.

Visitors from outside the United States

The Foundation is based in the United States, and information submitted to us is processed and stored in the United States, where data-protection laws may differ from those of your country. By using the Site you consent to this transfer.

Do Not Track

There is no industry standard for responding to “Do Not Track” signals. We note, however, that our designated sensitive pages operate without analytics or marketing tags regardless of browser settings.

Changes to this Policy

We may update this Policy from time to time. The current version is always available on this page, and the effective date below indicates the latest revision. Material changes will be announced on the Site.
